E-file (Year-End Payroll)

Can someone share the steps needed to file year-end quarterly returns and W-2's, W-3 etc.... I already register with SSA business services, so I have a user id number. I cannot figure out how to efile, sorry, its my first time efiling payroll forms. I was going to use quickbooks to efile, but I need to register every single client of mine to get a PIN and I cannot wait to get the PIN letter from the IRS.

MAS - you still need a PIN to efile even just your own quarterly reports (941's and 940's). It's a 10-digit number issued by the IRS.

I didn't even bother to go that route for my clients - I do paper returns for them, but e-file those for my office.

Guess this isn't of any help to you after tall.

I've never bothered with 941's but the W-2/W-3 are easy -- it's all built into the ATX program. (Working from last year's memory - none from this year are ready to go yet.) ATX creates the file you need to upload to the SSA. Log in to SSA and pick the right file -- go back the next day to make sure they're accepted. Poof. Done except for the client copy and mailing individual W-2's (which I usually give to the client to mail to the employees).

Good I will at least efile the W-2//W-3 and 1099's through ATX.

I have already efiled W-2's via ATX and SSA for 4 clients. You receive an immediate confirmation from SSA after uploading the file. I don't do anything the next day. In fact, on ATX, the "efile" will still be in created status because it technically is not efiled though the software. Rather it goes through SSA website directly. So I just mark it Completed.

The thing to remember is to put your SSA assigned user ID on the "Employer Info" sheet where the submitter's info is put (that's you). I seem to always forget and can't figure out why the efile won't create and there is no message. Once you input that 8 digit number, all should flow to the AccuWage program (choose the ASC file to test) and continue to log into SSA.

Thanks for the info, one question, do I have to fill the preparer info, or that is taken care once I uploaded to SSA website? Or how can I my preparer info to flow into the form for efile of the W-2/W-3.

I would like to Efile my W2s but I have my payroll clients on Medlin Accounting and they are not set up for efiling. Since I can use plain paper for W2s I just paper file rather than retype all the info to ATX. I really do like being able to efile my 1099s through ATX so that I don't have to fool with the red forms.

MAS, you are converting your QuickBooks data to text files in ATX, not manually entering the data in ATX, right?

No, I re-enter everything for a client of mine that has two employees (no biggie), but if there is a way, I am willing to learn how to import it from QB. Please teach :-)

It may not be worth the trouble for a couple of W2s or 1099s, but here is the link for converting data from QuickBooks and Peachtree. One nice thing is that you don't have to worry about errors in duplicating the data.

I also have a couple of one-or-two employee clients where it's just faster/easier to directly input from QB reports, but the import is great for more than 2 or so employees.
